Volunteer Opportunities for the 2010 Season PDF Print E-mail

BAC programs are run entirely by volunteers and each year brings change to the makeup of the Boys In House Basketball Committee.   If you consider yourself organized and able to be timely in completing tasks, please consider offering your time and abilities to making basketball happen for our youth.  Contact Jeff Shand (612-804-9450) or Rich Hardegger (952-261-2141) or here for more information.

 

Commissioner - The commissioner holds and implements a vision for providing Burnsville youth with an In House Boys Basketball opportunity.  This position is covered for the coming two years (through March 2011); however, an ideal transition would have the prospective future commissioner act in an assistant commissioner role now to gain some experience from the current volunteers.  The commissioner's key roles include the recruitment and management of grade coordinators, interaction with District 191 and to represent the Boys In House program on the BAC Board.  Season planning begins in August.  The season ends in March.  The Commissioner position is subject to BAC Board approval and will require some attention to issues or meetings during the off season months.

 

Registration Manager - Coordinate two in-person sign up days in the fall (typically held at Dick's Sporting Goods); monitor the online registration database from September through December; forward registrations to grade coordinators; audit registration receipts; coordinate late registrations; authorize refunds; document scholarship awards.  Need to be able to perform basic Excel spreadsheet functions.  This position begins in September and ends in January and can be done from primarily from home.

 

Coaching Mentor - This is a new position for BIHBB attempting to provide support to new coaches or to coaches seeking advice regarding effective use of practice time, teaching basketball skills, teaching basic plays, appropriate defenses and managing of the game.  This position will spend limited time in the gym at practice sites to the extent that coaches request help.  It is expected that these requests would be more numerous at the beginning of the season (e.g., late December through January) and taper off from that point on.   BAC basketball coaching experience is preferred but not required.  Practice schedules would likely interfere with someone also involved as a coach.  Excellent opportunity for a "retired" BAC coach willing to commit to this role to improve the BAC Basketball experience for kids.

 

Pre-Season Clinic Manager - The clinic is typically held on two consecutive Sunday afternoons in December (before Christmas) for players in grades 2 through 6.  Gyms are already reserved.  Clinicians are already arranged - either the Blaze players and coaches or the Timberwolves clinic staff, or both.  The clinic manager takes information from the registration database, sends clinic details to those who have registered for the clinic via email, sends reminders, prepares name tags, recruits volunteers (2-3) to staff the sign-in table, collects walk-up registration fees, prepares welcome signage, arranges for basketballs to be brought from BAC storage to the HS gyms, recruits volunteers to check basketballs for proper inflation, serves as contact person for clinicians prior to and during the clinic for any logistical needs, arranges for refunds for valid claims.  This is a quick-hit, short-term position essentially lasting from mid-November (beginning preparations) to mid-December (last clinic session).

 

Grade Coordinator - Coordinators are the key volunteers in getting their specific grade basketball program mobilized each season.  Grade coordinators manage a 6-10 team league, usually one grade level, which includes:  assisting with team formation; scheduling practices and games; maintaining or delegating upkeep of statistics; assisting with monitoring of games on Saturday's during the season.  Maintaining communication with coaches and serving as a BAC contact person for parents.  All coordinators assist with registration.  Our mid-December coaches meeting is a mandatory event.  Basic email and Excel spreadsheet skills are necessary.

 

High School League Assistant Coordinator - the BIHBB High School league allows players to form their own teams.  Teams are placed into the multi-tier league based on the team's skill level.  The league has 20-25 teams and is managed by a team of coordinators.  Coordinators assist with High School league team formation; schedule practices and games; maintain stats; assist with monitoring of High School games on Sundays during the season and help with gym cleanup at the end of the day.  Coordinators also maintain communication with coaches and serve as BAC contact person for parents and assist with registration.  Our mid-December coaches meeting is a mandatory event.  Basic email and Excel spreadsheet skills are desirable.

 

Equipment Manager - Inventory and handout balls/ball bags at preseason coaches meeting; prepare game site equipment sets (scoring equipment/first aid kits/clocks); distribute equipment to games sites; perform a mid-season (mid-February) check on the equipment; collect equipment at the end of the season; collect ball bags from coaches at the end of season tournament; manage equipment-related issues as they arise, such as purchases, assistance to coaches or liaisons with District 191 staff related to equipment storage.  Our mid-December coaches meeting is a mandatory event for this position.  Game equipment must be distributed by the first weekend in January.  Ball bags need to be collected on Championship weekend in mid-March.  Other equipment management activities can be completed on a self-determined schedule.

Gym Scheduler - Gym schedules are a key piece of information for families and BAC needs to be able to keep families informed and assured that the schedules are accurate and up to date.  The scheduler assigns gym slots to each grade for practices and games (gym space is provided in bulk by District 191 Community Ed to BAC and is dispersed to several BAC programs).  Gym space information is shared via Excel spreadsheet files, so basic Excel capabilities are required.   Gym scheduling also requires a commitment to providing schedule information in a timely manner to the grade coordinators.  The gym scheduler needs to be available to manage gym schedule changes as BAC receives notices from District 191 so that notifications to affected grade coordinators are made in a timely manner.  Time commitment begins in November and ends in March; however, nearly all of this work can be done from home.  Attendance at an introductory team meeting in September and a mid-December coaches meeting is requested.

 

Picture Day and Publications Coordinator - Coordinate Picture Day including: liaison for the photographer; reserve picture-taking space with the District.  Manage BIHBB publications, including: edit/update parent handbook; coach's handbooks, BIHBB rules book and submit to print shop for production.  Create an end of season tournament program with final 4 team information.  Some basic desktop publishing skills needed.  Parent, coach and rule documents are needed during registration in advance of the season (October).  Picture Day is usually in early February, but can vary.  The end of season tournament program is prepared in advance to the extent possible with BAC and sponsor information, but is finalized during the week after playoffs determine which teams are participating in Championship Weekend (mid-March).

 

Concessions Manager - Concession revenues can help keep In House Basketball registration fees from increasing and can be significant when we are able to use the High School concession facility.  The manager coordinates staffing of the concession stand at the High School gym; procures concession items; helps sell concessions on a Saturday or Sunday if needed, but we want a manager who will use an assistant manager and trusted volunteers or student help to make this a low-level-of-effort endeavor for all involved.  Concession stand opportunities occur during the January - March weekends when BIHBB is in session (about 8 weekends overall).

Referee Coordinator - This position coordinates the hiring, training, scheduling, evaluating and payment of referees for Boys In House Basketball.  Referee recruiting occurs about 2 months in advance of the season.  Scheduling referees requires coordination with the grade coordinators, who set the game schedule.  The ref coordinator visits game sites during Saturday/Sunday games to observe referees and provides feedback as needed.  Ideally, the referee coordinator is familiar with BAC BIHBB rules and has experience as a referee.  Assists with the coach's meeting in mid-December to answer referee-related questions.  Basic email and Excel spreadsheet skills are necessary.
